Public Submissions allow you to turn any Application form into a public-facing submission form. With a simple toggle and shareable link, external users can submit applications online — no login required.
This opens the door to better engagement with communities, businesses, and stakeholders while streamlining how you collect and process incoming data.
Simple Setup
- Enable Public Submissions globally with a master toggle
- Turn individual forms on/off as needed
- Once enabled and saved, your form becomes live instantly
- Use the View button to access and share the public link
Forms can include parent fields for deeper data collection, and those values carry over when the submission is processed.
Note: The public version of the form is simplified — be sure to preview it while designing.
A Smooth Submission Experience
When a user submits a form:
- Required fields are enforced
- If an email is provided, the user completes a verification step
- A verification code is sent and must be confirmed
- Once submitted:
- The submission is recorded
- The user received a copy of their submission
This ensures clean, validated data and supports follow-up communication.
Managing Submissions
Public Submissions are treated as temporary, unverified records until reviewed.
Submission Statuses:
- Unprocessed – Newly submitted and awaiting review
- Processed – Converted into a formal Application record
- Dismissed – Identified as spam or not applicable
Review & Processing:
- View submissions on the map and access full details
- Use tools like auto-locate (for Food submissions) to identify facilities
- Link submissions to existing parent records
- When processing:
- Submission data is copied into a new Application record
- Parent fields can be updated
- The original submission is preserved for reference
